Ask for the total first-year cost including implementation, the per-document rate above any included allowance, the notice period, and exactly what you get if you leave: whether your archived invoices are exported in full, in what format, and at what cost. Switching later means re-integrating and re-testing, so exit terms matter more here than in most software contracts.

No. The right provider is mostly determined by whether it integrates properly with the accounting system you already run and can handle your volume. A cheaper provider that only offers manual portal upload will cost you far more in staff time if you issue hundreds of invoices a month.
